Services

Quick links:

What Are Services?

In Webba Booking, a service is anything that customers can book or schedule.

A service can represent:

  • An appointment or consultation
  • Equipment or facility rental
  • A class, lesson, or event
  • A reservation (for example, courts, rooms, or tee times)

Webba is highly flexible, allowing you to create unlimited services, each with its own:

  • Availability and schedule
  • Pricing and payment rules
  • Booking settings and integrations

Services Page Overview

The Services page displays all services created in your system. From this page, you can:

  • View all services in one place
  • Filter services by name, duration, or administrator email
  • Quickly access and manage individual service settings

This centralized view makes it easy to organize, update, and maintain your services.

How to Add a Service

To create a new service:

  1. Go to the Services page
  2. Click Add service, and a settings panel will open on the right side
  3. Configure the service details, availability, pricing, and other options
  4. Click Save changes to create the service

Each service can be fully customized using the available tabs in the Service Settings panel.

1. Details

The Details tab contains the basic information and configuration for a booking service. These settings define how the service appears to customers and how bookings are handled.

1.1 Service Image (Available in the START or higher plan)

Upload a main image for the service. This image will be displayed in the booking form when customers select the service.

  • Supported formats: PNG, JPG, GIF
  • Maximum file size: 10 MB
  • Optional: Leave this field empty if you do not want to display an image

You can upload the image by clicking the upload area or by dragging and dropping a file.

1.2 Service Name

Enter the name of the service. This name is shown to customers in the booking form and is also used internally to identify the service.

1.3 Category (optional)

Assign the service to a category.

Categories help organize services in the booking form and make it easier for customers to find the service they need.

Please note that if no category is selected, the service will be displayed without grouping.

1.4 Description

Add a description of the service.

This text is visible to customers during the booking process and can be used to explain:

  • What the service includes
  • Preparation instructions
  • Important notes or conditions

1.5 Override Main Notification Email(s)

Enable this option if you want to use different notification email addresses for this service instead of the global notification emails (which can be set in Settings -> Notifications -> Email).

When enabled, notifications related to this service will be sent to the service-specific email addresses configured in the Notifications settings.

1.6 Booking Form (Available in the PLUS or higher plan)

Choose which booking form customers will use when booking this service.

If you have a Plus or Pro license, you can build your own booking form custom fields using Webba Form Builder.

By default, the default Webba Booking form will be used. Using different forms allows you to collect service-specific information from customers.

1.7 Saving or Resetting

  • Click Save changes to apply your settings
  • Click Cancel to discard changes
  • Use Reset to defaults to restore the default service settings

2. Availability

The Availability tab controls when the service can be booked, how long appointments last, and what booking rules apply. These settings can override global availability rules if needed.

2.1 Service Duration

Define how long a single booking for this service lasts.

  • Set the duration using hours and minutes
  • This duration determines the length of each bookable time slot

2.2 Buffer Time

Set a buffer time that is automatically added between bookings. Buffer time helps prevent back-to-back sessions and is useful for:

  • Preparation
  • Cleaning
  • Travel time between appointments

The buffer time is added after each booking.

2.3 Notice Time Before Booking

Specify the minimum time required before a booking can be made.

This setting ensures customers must book in advance (for example, “must book at least 3 hours before the appointment”).

2.4 Number of people limitation for the same slot (Available in the PLUS or higher plan)

You can set the maximum and minimum number of people/unit or group booking for the same time slot here.

2.5 Override Global Availability

Enable this option if the service requires its own working hours, separate from the global availability settings.

When disabled, the service will follow the working hours defined in Global Availability Settings, which can be found in Settings -> Global Availability & Holidays.

2.6 Set custom availability

Use Custom Availability to define the exact days and time intervals when this service can be booked.

This allows you to override the default working hours and create a service-specific schedule.

  • Each day of the week (Monday–Sunday) can be enabled or disabled using the toggle. Disabled days are not available for booking.
  • For enabled days, you can define one or more time slots by selecting a start time and an end time.
  • Only the configured time slots will be available for booking.
  • Click Add Time Slot to create multiple time ranges on the same day (for example, morning and afternoon sessions).
  • Use Apply to all days to copy the same time slots to every day of the week.
  • Click the trashcan icon to remove a time slot from a specific day.

2.7 Override Global Availability for Specific Days Only (Available in the PLUS or higher plan)

Use this option to define special availability rules for specific dates. This is ideal for:

  • Holidays
  • Special events
  • Temporary schedule changes

Only the selected dates will use the overridden availability.

2.8 Limit Availability to Specific Date Range (Available in the START or higher plan)

Restrict the service so it can only be booked within a specific date range. This is useful for:

  • Seasonal services
  • Limited-time offerings
  • Temporary services

Customers will not be able to book the service outside the selected range.

2.9 Override global timeslot intervals (step)

Enable this option to override the global time slot interval setting for this service. To add a global timeslot, go to Settings > Advanced Booking Rules > Booking Form > Global timeslot interval (step).

2.10 Time slot interval (step)

Here you can enter the default time interval for time slots, which helps organize business hours and appointment durations. Please note that the custom duration of Service is part of the PLUS or higher plan.

2.11 Require Customers to Book Several Time Slots (Available in the PLUS plan or higher)

Enable this option if customers must book more than one time slot for this service. This is useful for services that:

  • Require longer sessions
  • Are billed or scheduled in fixed time blocks
  • Need multiple consecutive slots instead of a single one

When enabled, customers will not be able to complete a booking with only one slot.

2.12 Minimum Slots per Booking

Set the minimum number of time slots a customer must select in order to make a booking. For example:

  • If the minimum is set to 2, customers must book at least two time slots.

2.13 Maximum Slots per Booking

Set the maximum number of time slots a customer can book in a single booking. This helps limit excessively long bookings while still allowing flexible durations.

2.14 Require Consecutive Time Slots (available in the PLUS plan or higher)

When enabled, customers must select continuous, back-to-back time slots.

This ensures:

  • No gaps between booked slots
  • Longer sessions are scheduled as one uninterrupted block

This option is recommended when multiple time slots represent a single extended appointment.

3. Pricing

The Pricing tab controls how the service is priced, how payments are collected, and which pricing rules apply.

3.1 Price

Set the base price of the service.

  • Enter the price using the configured currency
  • Leaving the value set to 0 will display the service as “Free” in the booking form

3.2 Do Not Show Price (Available in the START or higher  plan)

Enable this option if you do not want the service price to be displayed to customers.

This is useful when pricing is discussed separately or depends entirely on custom arrangements.

3.3 Take a deposit instead of full payment (Available in the PRO plan)

Enable this option if you would like to take a deposit amount instead of the full payment. Let customers pay only part of the price now and the rest later.

3.4 Payment Methods (Available in the PLUS plan)

Select which payment method(s) are available for this service. Only the selected methods will be shown to customers during checkout.

Available options depend on the payment methods enabled in Settings → Payments.

You can configure the price currency and payment methods, such as PayPal, Stripe, and WooCommerce, from this section. For more details, refer to the Payment Settings documentation [Link].

3.5 Show “From” Label Next to the Price (Available in the PRO plan)

Enable this option to display a “from” label next to the service price. This should be used when the final price may change based on:

  • Pricing rules
  • Add-ons
  • Choices made in later booking steps

3.6 Enable Service Fee (Available in the PRO plan)

Enable this option to add an additional one-time fee on top of the service price. Examples include:

  • Booking fees
  • Cleaning fees
  • Administrative fees

3.7 Apply Pricing Rules (Advanced) (Available in the PRO plan)

Select one or more pricing rules to apply to this service. Pricing rules allow you to:

  • Modify prices based on conditions
  • Add dynamic pricing logic
  • Apply discounts or surcharges

New pricing rules can be created in the Pricing Rules section.

3.8 WooCommerce Product ID (Available in the PRO plan)

Select the Product ID of the WooCommerce product associated with this service.

This field should only be used when WooCommerce is selected as a payment method. The service booking will be linked to the specified WooCommerce product.

4. Integrations

The Integrations tab allows you to connect the service with external calendars and video conferencing tools. These integrations help keep availability in sync and automate online meetings.

4.1 Connect Google Calendar (Available in the START  or higher plan)

Select the Google Calendar that should sync with bookings for this service.

Make sure you have at least 1 Google Calendar connected to Webba. If you haven’t done it yet – go to the “Google Calendars” page in the left menu and follow this guide.

  • Bookings for this service will be synced to the selected Google Calendar
  • Calendar events help block availability and keep schedules up to date

4.2 External Calendar (ICS) (Available in the PRO plan)

Add one or more external calendar URLs in iCal (.ics) format. These calendars are used to block availability when you are busy in other calendar systems.

Key notes:

  • Enter one iCal URL per line
  • Synchronization is one-way only
  • Webba appointments are not exported to these external calendars

This is useful when you use multiple calendar providers (for example, Outlook or Apple Calendar).

4.3 Create Zoom Meetings (Available in the PRO plan)

Enable this option to automatically generate Zoom meeting links for bookings of this service.

  • This feature requires your Zoom account to be connected to Webba. You can configure the Zoom integration from Settings > Integrations > Zoom.
  • For detailed instructions, refer to the Zoom Integration documentation.
  • Meeting links are created automatically when a booking is confirmed
  • Links can be included in booking notifications

4.4 Create Google Meet Meetings (Available in the PRO plan)

Enable this option to automatically generate Google Meet meeting links for bookings of this service.

When enabled:

  • A Google Meet link is created for each booking
  • The meeting link is attached to the calendar event
  • The link can be included in booking notifications

Note: This feature requires that your Google account is connected in Webba. You can configure the Google Calendar integration from Webba > Google Calendar. For detailed instructions, refer to the Google Calendar integration documentation.

5. Settings

The Settings tab contains administrative options that control how the service appears in the calendar, its order in the booking form, and who can manage it.

5.1 Admin Calendar Color

Choose a color to represent this service in the Webba admin calendar.

5.2 Service Priority

Set the display order of the service in the booking form.

  • Services with a lower number appear higher in the list
  • Leave this field empty to use the default ordering

5.3 Who Can Manage This Service

Select the staff members who are allowed to manage this service. Selected users will be able to:

  • View the service schedule
  • Access service-related information

5.4 Allow Staff to Edit Service Settings

Enable this option to allow assigned staff members to edit this service’s settings.

  • When enabled, selected staff can modify the service configuration
  • When disabled, only administrators can make changes
