Bookings

Quick links:

What are bookings?

Bookings or appointments represent scheduled interactions or sessions between customers and your business, each occupying a specific reserved time slot for a particular service.

Bookings page offers a comprehensive overview of all bookings made for your services. By clicking on a specific booking, you can access detailed information, including customer-selected preferences, contact details, and any additional information provided during the booking process.

By managing appointments through the Bookings page, you can efficiently handle bookings, gain insight into customer preferences, and ensure a smooth scheduling process for your business.

Booking statuses

The Webba Booking plugin provides various booking statuses to facilitate efficient booking management:

  • Pending: This status indicates that the booking is pending approval by a service administrator.
  • Approved: This status indicates that the booking has been approved by an administrator. It confirms that the booking is ready to proceed.
  • Rejected: The booking request has been reviewed and declined by an administrator.
  • Cancelled: This status signifies that the booking was cancelled either by the customer or the administrator after it was initially approved or pending.
  • Arrived: Set by the service administrator, this status confirms that the customer has arrived for their scheduled appointment.
  • No-Show: Indicates that the customer did not arrive for their scheduled appointment, and no cancellation was made in advance.

How are the booking statuses changing?

There are multiple methods available to modify the booking status:

  • Default Booking Status: You can set a default booking status to be automatically assigned to all bookings made through the booking form. To change the default status, go to Settings → Booking Rules → Default Booking Status. You can choose either “Pending” or “Approved” as the default.
  • For admin: Admins can modify booking statuses using the following methods:
    • Bookings Page: Navigate to the Bookings page, find the booking you want to update, and change its status in the Status column.
    • Email notifications: Set up email notifications for admins, that include placeholders: #admin_approve_link (to approve the booking) or #admin_cancel_link (to cancel the booking). Read more here.
  • For customer: To allow customers to manage their bookings:
    • Email notifications: Include the #cancel_link placeholder in customer emails to let them cancel their booking directly. Read more here.
    • User dashboard: Set up a user dashboard where customers can manage, reschedule, or cancel their bookings. Read more here.
  • Automatic Status Change after successful WooCommerce payment: To automatically update the booking status after a successful WooCommerce payment, go to Settings → WooCommerce → Status of the booking paid with WooCommerce, and select the desired post-payment status.

Note: To ensure that the administrator and/or customer receives an email notification after a status change, make sure notifications are enabled in the Email Templates.
